Program Associate

Description

The program associate provides a wide range of administrative and participant support services to CASES’ Adult Behavioral Health Programs that serve individuals involved in the criminal justice system, primarily in alternative to incarceration programs. The program associate works at our lower Manhattan and Staten Island offices ensuring smooth and effective operational functioning with minimal supervision and has frequent and demanding contact with program participants, criminal justice personnel, other departments, and staff. We are a mission driven organization and are looking for someone with drive and enthusiasm to join our team. This position offers an opportunity to gain program administrative experience, as well as broad exposure to behavioral health programming within a criminal justice non-profit organization.

Responsibilities:

•Receive and screen telephone calls and answer program inquires via phone, email or mail;
•Communicate with program participants to coordinate their program participation and compliance with the alternative sentence;
•Provide triage support and direct assistance to program participants as needed;
•Perform data entry to enroll participants in our programs, including demographic information, enter attendance and other program information into the database as needed, ensuring accuracy;
•Complete participant orientation providing them with an overview of the program and program expectations;
•Complete and prepare for submission compliance documentation needed for the District Attorney’s Alternative Sentencing Office, judges, and the Criminal Court Compliance Parts;
•Run demographic reports and retrieve other program data from databases for reporting purposes using excel pivot tables;
•Complete database quality assurance audits to ensure program data is entered according to program standards and timeliness;
•Generate program data needed for monthly billing reports and ensure its accuracy;
•Manage petty cash accounts;
•Assist with program operational logistics as needed;
•Maintain general knowledge and understanding of adult behavioral health programs and policies; route requests for information and refer to appropriate staff as needed;
•Provide specific administrative and program support to other members of ABH supervisory staff as needed, including scheduling meetings, assisting in set-up and preparation for special events, literature search, photocopying and compiling materials.

Qualifications

•BA/BS degree or high school degree with 7 years related work experience;
•Prior related administrative experience;
•Exceptional communication and organizational skills, including excellent phone demeanor and direct communication skills with program participants, criminal justice partners and staff;
•Excellent diplomacy, poise and social skills to deal with individuals facing a range of problems including mental illness, substance abuse, trauma, homelessness and unemployment;
•Ability to operate with purpose, urgency, and accuracy in a fast-paced deadline-driven environment;
•Must maintain confidentiality and have the ability to exercise a high level of judgment/discretion.
•Ability to create and maintain well-organized administrative and operational systems
•Knowledge and proficiency of MS Word, Excel, PowerPoint, and possess a willingness to learn new programs as needed
•Good sense of humor

Preferred Qualifications
Spanish Speaking a plus
Interest in working with people with treatment and social service needs involved in the justice system
